  • Overview

    General Summary

    Under general supervision, performs tasks related to back office check & deposit processing.  Provide branch support as they relate to department tasks; process member account levies; process member death claims; handle member calls related to department tasks; perform IRA and HSA branch quality control. Provides exceptional member service to both internal customers and Credit Union members. Performs other duties as assigned.

     

    Responsibilities

    Deposit Account Support:

    • Adheres to deposit account regulatory rules and CCU policies and procedures
    • Monitors various deposit reports; makes corrections; reports patterns to management
    • Researches and resolves member problems including correspondence.
    • Calculates and processes dividend adjustments.
    • Processes certificate maturity notices.
    • Reviews consumer account statements for accuracy before vendor processing.
    • Opens and processes member mail. 
    • Provides technical phone support and guidance to branch staff relating to fiduciary, IRA, & HSA accounts and death claims.
    • Assists members by phone for department functions.

     IRA / HSA Processing:

    • Reviews IRA/HSA reports and forms; corrects transaction tax reporting categories; works with branches to get corrected member forms when needed.
    • Calculates and processes IRA required minimum distributions, excess contributions, and recharacterizations
    • Calculates and processes HSA excess contributions
    • Validates yearend automatic required minimum distribution calculations and setup

     Processes Death Claims:

    • Places the proper restrictions on member accounts to protect decedent assets.
    • Researches account vesting and beneficiary information for account settlement.
    • Verifies proper documentation is received in accordance with laws for account settlement.
    • Provides IRA/HSA beneficiaries with their options for payout; prepares forms and sets up Inherited IRA/HSA for proper tax reporting; establishes scheduled distributions when elected.
    • Performs transactions and maintenance for settlement.

     Member Account Levies:

    • Determines funds subject to levy.
    • Places proper holds and restrictions on each account.
    • Notifies member by letter of levy.
    • Forwards funds to agency at time stated in the levy instructions.

     Verification of Deposit:

    • Verifies member authorization or release information.
    • Researches records for requested information.
    • Completes response and sends to requesting agency.

     Secondary Accountabilities

    • May prepare forms and perform maintenance for IRS tax form corrections
    • May assist with validation of data for deposit account tax reporting of forms 1099INT, 1099R, 1099SA, 1099Q, 5498, 5498SA, and 5498ESA
    • Performs other duties as assigned.
    • Complies with BSA requirements as commensurate with position.

     

    Qualifications

    Position Requirement and Qualifications:

    Excellent attention to detail, analysis, problem-solving, teamwork, time management, and member/customer service.  Must be able to use PC programs and applications, such as Microsoft Office Suite or equivalent.  Able to use member transactional and related system, such as DNA or equivalent.

     

    Knowledge, Education, Certifications, Licenses: 

    High School diploma or equivalent.  Some college coursework preferred.  Extensive knowledge of member consumer deposit accounts, to include IRA, HSA and Fiduciary Accounts or equivalent.  Working knowledge of relevant computer applications and systems.

     

    Experience: 

    Requires a minimum of three years of experience handling all aspects of consumer deposit accounts, including specialty accounts in a financial institution to gain the necessary knowledge, skills and abilities to handle all aspects of the position or equivalent.
